An Administrative Synergist is a dynamic team member whose roles and responsibilities are to promote organizational stability, growth, and efficiency. CircleUp Education is rapidly growing and looking to add a multi-talented, driven, and thoughtful individual to our team! The Administrative Synergist adds refined skills, administrative support, organizational structure, patience, and creative ideas into our dynamic workplace culture. This person will enhance the community-focused work that CircleUp Education’s team delivers to its diverse clients all over the country. The Administrative Synergist is comfortable working independently and supporting multiple people in a fast-paced environment with efficiency and attention to detail. The ability to manage multiple projects at once is vital. This role is deadline driven, and this team member must uphold high-quality standards. The Administrative Synergist enjoys being part of an innovative environment with a start-up mentality. The Administrative Synergist is highly motivated by the task of keeping a highly-efficient and effective office and operation and will strive to make improvements in all administrative, operations, communications, and marketing aspects. Job Responsibilities
Primary Roles
Maintain inventory of products, projects, and stakeholders
Manage all insurance policy renewals, compliance items, dues and subscriptions, and tax documents
Keep office and workspaces clean and tidy
Manage client assessments
Manage office supplies, materials, equipment, equipment maintenance, phone systems, and other technology
Make recommendations for office and organizational improvements
Manage the master calendar
Assist in coordinating schedules for Co-founders and trainers
Prepare and pack training supplies for trainers
Maintain organization of training supplies
Assist with setting up, maintaining, and breaking down trainings.
Perform client relationship management duties
Edit training and marketing materials
Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.)
Monitor office supplies inventory and place orders
Assist in vendor relationship management
Manage records of company policies and procedures
Coordinate company meetings, events, and sessions
Supplementary Roles
Collaborate with other CircleUp Synergists on administrative tasks and office organization projects
Maintain all development, team member, and project files
Pack and ship products
Create and maintain social media content on Facebook, Youtube, Twitter and other platforms

With the entire globe weathering COVID-19 we are asking our employees to temporarily telecommute to work daily until it is deemed safe for us to join each other in the workplace. To apply for this position as we are working remotely you must be able to successfully separate work and home boundaries, and be accountable for finishing your projects on time. You will also need to have the following already in place prior to hiring start date:
Physical Space: You will be provided with company furniture and technology that will require a 4’x3’ space of for CircleUp desk and computer accessories
Mental Space: A dedicated quiet place to work where you can filter out noise and distractions during work hours
Internet Access: You will need stable high speed internet access
Stable power: You will need stable power run and charge all equipment
Required Skills and Abilities
Proficiency in Google Suite including Google Docs, Google Sheets, Google Forms, and Google Drive
Proficiency with Gmail and Inbox
Proficiency with Mailchimp or similar mass mailer applications
Proficiency with Mac OS 10, Android, and IOS operating systems
Ability to lift 50-70 lbs
Have a valid driver's license, reliable vehicle, and ability to drive to work-related destinations
Ability to travel for 1-6 days within the San Francisco Bay Area, California and throughout the United States.
1-3 years of experience as an administrative assistant, or an equivalent role, that included working in a fast-paced environment that involved multi-tasking and problem-solving.
Highly Preferred Skills
Proficiency with Adobe InDesign, Illustrator, and Photoshop software.
Proficiency CRM system
Proficiency with Zapier
Bachelor's Degree or Associate's Degree in fields related to Peace and Conflict Students, Ethnic Studies, Sociology, Restorative Justice, Psychology or similar fields
Proficiency in a second language such as Hindi, Mandarin, Spanish, Vietnamese, or American Sign Language
Participation in a Restorative Practices or Restorative Justice training
